What to do if your clinical system is changing

Currently Patchs supports connections to the following clinical systems:

  • EMIS
  • SystmOne
  • EMIS via Docman 10

Patchs currently supports the following changes to your clinical system connection:

To change the clinical system connected to your practice's Patchs account, please follow the instructions relevant to the system change you want to make.

EMIS to SystmOne

  1. Please contact Advanced support on 0330 303 1274 or via the Advanced customer support portal,  giving a minimum of two weeks notice of the change to your clinical system. In your support request please include:
    • The name and organisation code of your practice.
    • The name of your old clinical system (EMIS) and the date at which this will be switched off.
    • The name of your new clinical system (SystmOne) and the date when this will be switched on.
  2. During the switchover you may wish to limit the number of Patchs requests allowed using our demand management tools.
    Please note: steps 3 and 4 require administrator access on your SystmOne gateway machine so you may need to contact your IT team for assistance.
  3. Set up the Patchs SystmOne agent software
    Once you have your SystmOne gateway machine, and before we switch over the connection in Patchs, please follow step 1 of Installing and running the Patchs SystmOne Agent on your TPP Gateway Machine to set up the Patchs SystmOne agent software.
  4. If you have not done so already, install the Patchs toolbar on your SystmOne gateway machine.
  5. Once you have stopped using EMIS, based on the date provided in your support request, we will change your practice settings to set SystmOne as your clinical system for Patchs.
  6. Finalise the set up of the connection between SystmOne and Patchs.
    Once steps 3, 4, and 5 are complete, please complete steps 3 onwards of Installing and running the Patchs SystmOne Agent on your TPP Gateway Machine to finish the set up of the connection between SystmOne and Patchs and use a test patient to test the connection.
  7. Once step 6 is complete, and we are able to confirm the connection between SystmOne and Patchs, we will rematch your Patchs patient list with SystmOne  and this will allow you to save items to SystmOne for your patients.
    This will usually be completed over one night, but for larger practices may have to spread it out over multiple nights to adhere to the SystmOne rate limits. We will provide an estimate of how many nights this will take ahead of time.

SystmOne to EMIS

  1. Please contact Advanced support on 0330 303 1274 or via the Advanced customer support portal giving a minimum of two weeks notice of the change to your clinical system. In your support request please include:
    • The name and organisation code of your practice.
    • The name of your old clinical system (SystmOne) and the date at which this will be switched off.
    • The name of your new clinical system (EMIS) and the date when this will be switched on.
  2. During the switchover you may wish to limit the number of Patchs requests allowed using our demand management tools.
    Please note: step 3 may require administrator access on your computer, so you may wish to contact your IT team to perform this step.
  3. If you have not done so already, install the Patchs toolbar on any computers you wish to run both EMIS Web and Patchs on.
  4. Once you have stopped using SystmOne, based on the date provided in your support request, we will change your practice settings to set EMIS as your clinical system for Patchs.
  5. Once steps 3 and 4 are complete, please complete the steps in Enabling EMIS integration to give PATCHS permission to communicate with EMIS. 
  6. Register a test patient within Patchs to test matching the patient to EMIS and then saving requests from the patient to EMIS.
  7. Once steps 5 and 6 are complete, and we are able to confirm your connection between EMIS and Patchs, we will have to rematch your patient list within Patchs to EMIS to allow you to save items to EMIS for your patients. We will usually be able to do this over one night, but for larger practices may have to spread it out over multiple nights. We will provide an estimate of how many nights this will take ahead of time.
  8. After you have switched over, you should uninstall the Patchs SystmOne agent software from any computers that have it installed. You may need to ask your IT team to do this for you.

EMIS via Docman 10 to SystmOne

  1. Please contact Advanced support on 0330 303 1274 or via the Advanced customer support portal giving a minimum of two weeks notice of the change to your clinical system. In your support request please include:
    • The name and organisation code of your practice.
    • The name of your old clinical system (EMIS via Docman 10) and the date at which this will be switched off.
    • The name of your new clinical system (SystmOne) and the date when this will be switched on.
  2. During the switchover you may wish to limit the number of Patchs requests allowed using our demand management tools.
    Please note: steps 3 and 4 require administrator access on your SystmOne gateway machine so you may with to contact your IT team to perform it.
  3. Set up the Patchs SystmOne agent software

  4. Install the Patchs toolbar on your SystmOne gateway machine. This will allow you to connect from SystmOne to Patchs the same way the Docman toolbar allowed you.
  5. Once you have stopped using EMIS via Docman 10, based on the date provided in your support request, we will change your practice settings to set SystmOne as your clinical system for Patchs.
  6. Once steps 3, 4, and 5 are complete, please complete steps 3 onwards of Installing and running the Patchs SystmOne Agent on your TPP Gateway Machine to finish the set up of the connection between SystmOne and Patchs and use a test patient to test the connection.

  2. During the switchover you may wish to limit the number of Patchs requests allowed using our demand management tools.
    Please note: this may require administrator access on your computer, so you may wish to contact your IT team to perform this step.
  3. Install the Patchs toolbar on any computers you wish to run both EMIS Web and Patchs on. This will allow you to connect from EMIS to Patchs the same way the Docman toolbar allowed you.
  4. Once you have stopped using EMIS via Docman 10, based on the date provided in your support request, we will change your practice settings to set EMIS as your clinical system for Patchs.
