Please note the following feature is in pilot, and your GP practice will be notified when it is due to be rolled out to you.

See how every practice in your referral group is doing, and download reports for the whole group, from one place.

If your practice manages a referral group, you can open reports for the group as a whole, or for any one practice in it. This helps you see how the practices you work with are using Patchs, and how much activity they handle.

This article explains where to find the group reports, how to download them, and how to open the reports for a single practice.

Before You Start

The group reports are for Practice group managers. If you open Referral groups and see a Permission denied page, your account does not have access. Ask the Practice group manager at your practice to help.

This feature is switched on by Patchs. To ask about using it at your practice, contact your Account Manager or OneAdvanced Support.

To find out how a group is created and how practices join, read Setting Up Referral Groups and Out-of-Hours Partners.

How to Find the Group Reports

1. Open Referral groups

Click your name at the top right of the page and choose Referral groups.

2. Choose your group

Under Select group, choose the group you want to see. Three tabs sit below it: Manage group, Member reports and Group reports.

See the Practices in Your Group

Click the Member reports tab. It lists every practice in the group, with its Name, ODS Code and Membership Type.

To find a practice, type its name or ODS code in the search box and press Enter. Click CLEAR to see the whole list again. Click the Name or ODS Code heading to sort the list.

The Membership Type column shows one of two labels:

  • Full member: the practice can send and receive referrals with the other full members, and it appears in the group reports.
  • Reporting only: the practice appears in the group reports. It cannot send or receive referrals.

How to Download a Group Report

1. Open the Group reports tab

Click the Group reports tab. A message beside the heading tells you when the report data was last updated.

2. Choose the report and dates

Open the Report list and choose the report you want. The list contains:

  • Completed Activity and Submitted Activity
  • Completed Consultation and Submitted Consultation
  • Daily Uptake
  • Features Enabled
  • Feedback and Individual Feedback
  • Patient Utilisation

Choose a Start Date and an End Date to limit the report to a period. The dates are optional.

Daily Uptake, Feedback and Patient Utilisation also show an Aggregation Level list. Choose Practice or Group to set the level the figures are grouped at.

3. Click Download

Click Download. The report downloads to your computer as a CSV file, which you can open in Excel.

Note: If you download many reports in a short time, you see the message "You have downloaded too many reports. Please wait before downloading again." Wait before you download again.

How to Open the Reports for One Practice

Click the Member reports tab, find the practice, and click Reports on its row. The page opens with the heading Reports for and the practice name.

The path at the top of the page shows where you are: Referral groups, then your group, then the practice. Click any part of it to go back. You can also use the back link at the bottom of the page.

Note: The Reports link on your own practice's row may open a Permission denied page.

Upgrading a Reporting-Only Practice to Full Membership

A practice that joined for reporting only can become a full member later. On the Member reports tab, a practice with Reporting only shows an Upgrade button next to Reports. Only a Practice group manager of the group sees this button.

Click Upgrade. A window called Upgrade to full membership shows the practice name, its ODS code and its current membership. Read the warning, which explains that full membership allows referrals between this practice and all other full members, and that both practices must have a valid Data Sharing Agreement. Tick I confirm the Data Sharing Agreement has been reviewed and agreed., then click Confirm upgrade. Click Cancel to close the window without any change.

After you confirm, the practice shows as Full member straight away.

Best Practice Guidance

  • Check the date in the message beside the heading before you rely on a report. It tells you how recent the data is.
  • Use the date range to compare the same period each month, so the figures are easy to compare.
  • Reports contain information about your practices' activity. Store downloaded files securely and share them only with people who need them.
  • Only upgrade a practice to full membership once the Data Sharing Agreement is in place.
